Data Retention and Disposal Policy

ARKSOFT keeps information only for as long as needed for project delivery, support, security, business operations, legal obligations, accounting, and client agreements.

Retention Categories

  • Inquiry records: contact forms, emails, discovery notes, and scheduling details.
  • Project records: requirements, source code, design notes, issue history, test artifacts, deployment notes, support records, and client-provided files.
  • Business records: proposals, contracts, invoices, payment records, tax records, vendor records, and legal correspondence.
  • Operational records: website logs, security logs, backup metadata, access records, and incident notes.

Retention Schedule

  • Inquiry records are normally kept while a business discussion is active and for a reasonable follow-up period.
  • Project records are kept through delivery, warranty, support, audit, dispute, and maintenance periods defined by the engagement.
  • Business records are kept as required for tax, accounting, contractual, and legal obligations.
  • Operational logs are kept for the period needed to troubleshoot, secure systems, investigate abuse, and support reliability.

Backups

Backup systems may retain copies for a limited period after primary data is changed or deleted. Backup removal may occur on the normal backup lifecycle rather than immediately, unless a project agreement requires a different process.

Legal Hold

Retention or disposal may be paused when records are needed for legal claims, audits, investigations, security incidents, accounting, regulatory duties, or enforcement of agreements.

Disposal

  • Data no longer needed may be deleted, archived, de-identified, returned, or securely overwritten based on the storage system and project requirements.
  • Credentials, private keys, tokens, and sensitive access material should be revoked, rotated, or destroyed when no longer required.
  • Client-provided files may be returned or deleted according to the written agreement or approved project closeout process.

Client Requests

Clients may ask ARKSOFT about retention periods, return of materials, disposal steps, or project closeout requirements. Requests are reviewed against legal, contractual, backup, security, and operational obligations before completion.

Exceptions

Some records may be retained longer when required by law, contract, security investigation, dispute resolution, tax requirements, insurance, or backup lifecycle constraints.
